This document provides in-depth details regarding the changes to Document Processing in PaperCut MF 24.1.8, including licensing models, expected behavior, and answers to frequently asked questions.
Overview of document processing changes Self-hosted document processing In PaperCut MF 24.1.8, the self-hosted document processing feature can be configured without any additional licensing costs.
Cloud Document Processing licensing transition Effective for new purchases after July 1, 2025, Cloud Document Processing will transition to a per-device licensing model. New orders will require specific device entitlements to utilize cloud document processing.
IMPORTANT This change does not apply to "Scan to Cloud" destinations such as Google Drive or OneDrive, when no document processing settings are enabled in the scan action.
What this means for you (licensing scenarios) What this means for you depends on whether you are a new or existing customer.
New customers (after July 1, 2025) MFS subscriptions under the Trailblazer program
All MFS Subscriptions include cloud document processing equal to the number of licensed full-embedded devices. This free inclusion is included with a maintained subscription.
Note The MFS Trailblazer program closes on 31 December 2025.
Without Cloud Doc Proc licenses
If you are a new PaperCut MF customer on a perpetual license processed after July 1st without cloud document processing licenses, the default setting for document processing is “Self-Hosted.” The option to use PaperCut MF Cloud Services for Document Processing will be grayed out and unavailable.
With Cloud Doc Proc licenses
If you are a new PaperCut MF customer on a perpetual license processed after July 1st with cloud document processing licenses, “Self-Hosted” is still the default selection, but the “Use PaperCut MF Cloud Services for Document Processing” option is available for selection. The existing cloud services activation process occurs.
Existing customers MFS Subscriptions
Cloud Document Processing remains a core inclusion of MFS subscriptions. All MFS subscriptions include cloud document processing.
Note This is currently exclusive to Trailblazers.
Perpetual MF customers (pre-July 1, 2025)
Existing perpetual MF customers retain their current embedded device count for cloud Document Processing for all full embedded licences purchased before July 1, 2025. Any additional devices added beyond this will require a separate license for cloud document processing, if those features are needed.
Example: If you have 15 embedded devices with Cloud Doc Proc before July 1, 2025, you will be allocated 15 Cloud Doc Proc licenses. If you later add 5 more devices, you will need to purchase separate Cloud Doc Proc licenses for those new devices only to use cloud document processing.
Upgrades to 24.1.8 (existing Cloud Doc Proc setup)
When you upgrade from version 23.x with active Cloud Document Processing, your existing configuration is preserved. With active Maintenance & Support (M&S), your current embedded device count remains licensed, and the brand-new setting for Document Processing Scan Actions is automatically enabled for a seamless upgrade. Your device details, including entitlement details, are viewable in registration information.
Switching Document Processing hosting options Cloud to self-hosted Customers on 24.1.8 can switch to self-hosted document processing at any time. From July 1st, the “Use Self-Hosted” option will be available for selection and setup as per the existing process and documentation.
Self-hosted to Cloud Customers on 24.1.8 can switch to cloud document processing if licensed. After 1 July 2025, new customers will have defined entitlements, while existing customers retain licensing for their current embedded device count for cloud Document Processing.
FAQs Q: Why might scan actions with document processing settings not appear on my devices? Enable Scan Actions with Document Processing on this device has not been enabled for the device (under Devices > Integrated Scanning).
Global Document Processing settings like Deskew and Despeckle (under Options > Capture) require document processing for all scan actions. If you’re unable to enable Cloud Document Processing for all devices, scan actions with document processing settings will not appear on those devices.
Q: What happens if I try to switch from self-hosted to cloud processing but exceed my device limit? If you attempt to switch to cloud processing with more enabled devices than entitlements, the switch will be prevented. A message will indicate that the limit has been exceeded, requiring you to purchase additional entitlements or deactivate document processing on some devices.
Q: Will copying device settings that include document processing trigger an entitlement check? Yes, copying device settings that include enabled document processing will trigger an entitlement check. Insufficient entitlements will prevent the copy action, requiring either removal of the document processing setting from the copy or purchase of additional entitlements.
