The number of devices (listed under the Devices tab) in your PaperCut MF admin interface plays a large part of PaperCut MF licensing. For example if you have purchased 5 device entitlements, you can use up to 5 devices. If you try and add a 6th device, there are some things to keep in mind:
With PaperCut MF version 23.x and earlier, you could exceed your available device licenses for up to 7 days, in order to test a new device or add a temporary device. During this grace period, your PaperCut MF solution would continue to operate fully, giving you time to work with your PaperCut partner to determine the optimal number of entitlements to achieve your objectives. If you’ve exceeded your licensed limit and need to know the next steps, find out here . With PaperCut MF version 24.0 and later: If you are using a PaperCut MF perpetual license (not on a subscription), you can still exceed your available device licenses for up to 7 days, in order to test a new device or add a temporary device. If you are using a PaperCut MF subscription, you will not be able to exceed your available device entitlements. For example if you have 5 device entitlements in your license or subscription, and you’re looking to add another one, you’ll need to either: Set one of your other devices to Disabled indefinitely (Release entitlement) to release that device’s entitlement so that it can be used by the new one you’re looking to add. See Managing entitlements (Releasing individual device entitlements) for more information. Contact your PaperCut Partner (their contact information is under the Help tab in the PaperCut MF admin interface) to obtain a trial for an additional device, or to update your license or subscription to include (an) extra device(s). NOTE: Restarting the PaperCut Application Server service triggers the embedded device count to happen on the spot. In version 24.x and later, you can use the ‘refresh table’ option on the About > Registration tab to refresh the embedded device count.
Q How can I find my licensing information and CRN (Customer Reference Number)?
To see your licensing details (either information about a perpetual license, or your subscription), log into the PaperCut MF web admin interface, and then from the left menu select the About tab.
Scroll down to the License Info section (or click the Registration tab and scroll down to the License Info section since version 24.0) to see the entitlements - including device entitlements. If you are a PaperCut MF subscriptions customer, you will see a Subscriptions section instead, which will list the subscription entitlements.
The About tab also contains your Customer Reference Number (CRN) information. Please quote your Customer Reference Number (CRN) when contacting PaperCut or your PaperCut Partner with any licensing query. Your PaperCut Partner’s contact information can be found on the Help tab (or the About tab in earlier versions).
Q How will I know if I’ve exceeded my device license limit?
With PaperCut MF version 23.x and earlier, when you’re adding/installing a new device, if PaperCut MF detects that you’ve exceeded your licenses it will display a message to notify you that an additional device license is required within the next 7 days.
With PaperCut MF version 24.0 and later, if you’re using a PaperCut MF subscription, you will see an error message if you’re trying to add/install a device for which there is not an available entitlement. If you’re using a perpetual license, you’ll see the same message as version 23.x and earlier - stating that an additional device license is required within the next 7 days. Q How can I resolve my excess devices on my network?
Remove unused or under-utilized devices from your network. This immediately releases licenses to your newly added MFD. If you’re unsure about which devices could be decommissioned, run usage reports. For more information on how to do that, visit Reports -> Printer If you’re using PaperCut MF version 24.0 or later, you can set the device to Disabled indefinitely (Release entitlement) as documented in the Managing entitlements (Releasing individual device entitlements) section of the manual, which will release that entitlement for you to add another device. If you are expanding your network and all connected devices are still required, you will need to increase the number of device licenses. To purchase an additional license, contact your PaperCut partner or email oursales team. Q What if I am phasing out a device and replacing it with a new device?
With PaperCut MF version 23.x and earlier, if devices are superseded and replaced by a device of the same brand, simply uninstall the older device and install the new one to replace that license. If, however, you are changing device brands, you are eligible for upgrades at a discounted rate. Contact your PaperCut reseller or email our sales team.
With PaperCut MF version 24.0 and later, you will have brand-neutral device licensing. For example if you have 5 device entitlements and you’re currently using BrandX copiers, then you can immediately switch them to the same number of BrandY copiers and not need any subscription changes. Your device entitlements cover devices of any brand!
While PaperCut MF perpetual customers will also see unified entitlements once their device licenses have been activated, Perpetual licenses are still issued on a per-brand basis. In the event the customer wishes to swap devices of one brand for another, License Exchange Fees are still applicable.
Q How do I install the new device license?
PaperCut licenses are supplied as a digitally signed license file. Check out “How to install your license” for more information.

Q How can I get notified about excess devices without having to log in to the PaperCut Admin web interface?
You can set up PaperCut MF to automatically email you or your reseller if the license or subscription limit is exceeded. See the Options → System Notifications section.
Q Can I use my PaperCut MF licenses on all brands of printers?
With PaperCut MF version 23.x and earlier, the device licenses/entitlements are brand specific. If you have a license for one brand of MFDs and you change them to another brand of MFDs you need to acquire the brand-specific license. The exchange license is available at a discounted rate.
With PaperCut MF version 24.0 and later (whether you’re using a perpetual license or a subscription), the device licenses/entitlements are brand neutral. If you have a license for 2 devices and you switch one of them out from BrandX to BrandY, you’re good to go! No subscription changes needed.
